NetDocuments announced on June 8, 2015 that it has beefed up its security options and architecture with better encryption technology and the option of clients managing their own encryption keys.
The basic file security is now strengthened by using the AES-256 Standard with a distinct key. That key is then encrypted using a master encoding key (MEK, for those keeping up with the acronyms.) And another option will allow another layer of encryption to those individual file keys with a workspace encoding key (yep, you guessed it – WEK.) The user controls the WEK keys.
If a firm desires, it can also put into place up to three separate encryption keys for each data file. This means while NetDocuments not only continues to provide one of the strongest security options in document management systems, it also now provides the firm with the ability to specify which workspace areas are further secured by more encryption keys that the firm (not NetDocuments) manages.
An even more specific encryption is to implement a private hardware security module (HSM), which means that the firm would have complete control over the workspace encryption keys (WEK) that provide ownership, management and monitoring of the firm’s data. NetDocuments would have no access (management/backdoor) to any data stored in a private HSM.
